How to Evaluate an AI Dental Receptionist

Most AI receptionists sound good on a demo call. The difference shows up afterward: whether the appointment actually landed in your schedule, whether a patient who asked for a person reached one, and whether the vendor will sign a Business Associate Agreement before it touches patient data.

Most AI receptionists sound good on a demo call. The difference shows up afterward: whether the appointment actually landed in your schedule, whether a patient who asked for a person reached one, and whether the vendor will sign a Business Associate Agreement before it touches patient data.

This guide gives you a 6-point checklist, a side-by-side table of seven AI dental receptionists, and seven test calls to run on every demo, including ours.

Disclosure: This guide is published by Aron, which sells an AI dental receptionist. Competitor details come only from each vendor's own public pages, linked in the table, as checked on October 12, 2026. Where a vendor's page doesn't say, we write "Not published." That means the vendor's site is silent, not that the vendor can't do it. These are not results from hands-on testing. Use the same checklist on every vendor, us included.

    The 6-point evaluation checklist

    1. PMS write-back: does it actually book into your schedule?

"Integrates with Dentrix" can mean three different things: - Read-only: the AI can see openings or recognize a patient, but a person still books. - Request capture: the AI takes the details and your team approves or schedules later. - True write-back: the AI creates or changes the appointment in your PMS during the call, following your provider, operatory and appointment-type rules.

Ask the vendor to name your exact PMS and version, and to check booking, rescheduling and cancellation one by one. During the demo, watch the record appear in the PMS. A spoken "you're all set" proves nothing.

    2. Outbound calls to patients

Inbound answering only covers half the phone work. Ask which outbound workflows are live today, as opposed to on the roadmap: recall, reactivation, confirmations, unscheduled treatment. Also ask whether they're included in the plan or priced separately, and how they coordinate with reminders you already send so patients don't get double-contacted.

    3. Outbound calls to insurance carriers

This is the one most vendors skip. Some products verify eligibility electronically (a real-time payer response), and some say they place phone calls to carriers for benefits or claims. These are different capabilities. Ask which one the vendor offers, which payers it covers, and what your team gets back. Electronic eligibility is fast for active status, deductibles and maximums. Phone calls are usually needed for details that payers don't return electronically. See how Aron's electronic insurance verification works.

    4. Warm transfer to your team

A warm transfer means the AI calls your staff first, tells them who is on the line and why, then connects the patient. A cold transfer just forwards the call. Ask: - Which call types transfer, and at what times of day? - What happens when nobody picks up? Where does the message go, and who checks it? - Is warm transfer included on every plan or only on higher tiers? - How are emergencies escalated after hours?

    5. A signed BAA

An AI receptionist hears names, birthdates, insurance details and symptoms. Ask for the vendor's Business Associate Agreement before the pilot, not after. Also ask where recordings and transcripts are stored, who can access them, and how long they are kept. Have whoever handles privacy for your practice review the agreement.

    6. Published pricing and trial terms

Get every quote against the same requirements: locations, providers, call volume, coverage hours and the workflows you'll actually use. Then compare the base fee, setup fee, usage or credit limits, overages, phone service, contract length and cancellation terms. A low starting price can leave out transfers, outbound calls or texting. See Aron's published pricing.

Phone setup: forwarding vs. switching phone systems

There are two models: - Overlay / forwarding: you keep your carrier and phone system and forward calls (all calls, overflow or after-hours) to the AI. It's quick to start and to undo. - Platform: the AI runs inside a vendor's phone system, so you switch, or already use, that VoIP platform. This means more change up front, but calls, texts and the AI share one system and one bill.

Neither one is automatically better. Ask how routing works, how long staff phones ring before the AI answers, and how to go back to your old setup.

7 test calls to run on every demo

Use fictional patients. Have your front desk lead bring the awkward requests they handle every week. For each call, write down what should happen, what did happen, and what staff had to fix.

    1. New patient, open slot. Book a cleaning, then check the PMS for the correct provider, length and patient record.
    2. No suitable slot. Ask for a time that breaks your rules, and see what the AI offers instead.
    3. Existing patient reschedule. Does it find the right record (including shared family numbers) and change only that appointment?
    4. Insurance question. "Do you take my plan, and is a crown covered?" Does it verify, or just take a message?
    5. Asks for a person, line busy. Check what the patient hears and what your staff receives.
    6. After-hours emergency. Check that it follows your escalation path and doesn't give clinical advice.
    7. Outbound call. Ask the vendor to place a live recall or confirmation call to a test number.
Test call Expected Actual Staff fix needed? Pass/Fail
    1 New patient

Questions to ask on a demo

PMS and scheduling - Which PMS and version are you live on today, and which actions are supported: create, reschedule, cancel, new-patient record? - Can you show the appointment appearing in my PMS live? - How do you handle provider, operatory and appointment-type rules?

Outbound - Which outbound patient workflows are live now, and which are on the roadmap? - Do you call insurance carriers by phone, check eligibility electronically, or both? For which payers?

Transfers and escalation - Is warm transfer included on the plan you're quoting? - What happens when a transfer isn't answered?

Compliance and data - Will you sign a BAA before the pilot starts? - Where are recordings and transcripts stored, and for how long?

Phones - Do I keep my current phone system, or do I switch to yours? - How do I go back to my old setup?

Pricing - What's the total monthly cost for my locations and providers, including setup, usage, overages and phone service? - What are the contract length and cancellation terms? What does the trial include?

How to measure a pilot without fooling yourself

Before the pilot, record a baseline: missed calls per week and how much staff time goes to calling patients back. During the pilot, track correct bookings, booked appointments that were actually completed, unresolved calls, staff corrections and your actual bill. Keep booked production separate from collected revenue, and don't count every AI booking as a patient you would otherwise have lost.

    Where Aron fits

Aron is an AI dental receptionist that works as part of a wider practice platform. It answers in English and Spanish and mostly covers busy times, weekends and after hours. It books, reschedules and cancels appointments in your PMS. Supported actions vary by PMS, so confirm yours on the demo. Instead of transferring callers back to the main line, it takes messages for your team, and emergencies still route to your on-call provider. On Basic, recall and reactivation outreach goes out by text and email. Pro adds electronic insurance eligibility checks for US payers (150/mo).

Phones: Aron supports porting your numbers through its phone system, which is included on Basic (4 phones) and on Pro. The receptionist also works with call forwarding from your current carrier. Pricing is published: Basic $399/mo (communication, including 4 phones), Pro $799/mo (adds insurance verification and claims), and Elite custom (adds growth and multi-location). Aron signs a BAA with client practices and has no long-term contracts.

Test it yourself: call Sophia, Aron's live AI receptionist demo line, at (917) 410-4750 and run the seven test calls above. Or book a 30-minute demo and bring your PMS name, phone provider and three of your hardest scheduling rules.

    FAQ

What should I look for in an AI dental receptionist? Six things: true PMS write-back, outbound patient calls, how it handles insurance (electronic eligibility or carrier phone calls), warm transfer to staff, a signed BAA, and clear total pricing. Test every one on a demo, not from a feature list.

Can an AI receptionist book directly into Dentrix, Open Dental or Eaglesoft? Some can. Support depends on the vendor, your PMS version and the plan. Ask the vendor to book, reschedule and cancel live, and watch the record change in your PMS.

What is a warm transfer? The AI calls your staff member first, briefs them on who is calling and why, then connects the patient. A cold transfer just forwards the call with no context.

Does an AI dental receptionist need a BAA? If it handles protected health information for your practice, ask for a signed Business Associate Agreement before it goes live, and have your privacy lead review it.

How much does an AI dental receptionist cost? Among vendors that publish prices, entry plans in this guide start at $299–$399 per month per location, and some go above $1,000 depending on usage. Many vendors quote only. Compare the total cost, including setup, usage, phone service and contract terms.

Is an AI receptionist better than an answering service? A typical answering service takes messages. An AI receptionist can complete supported tasks, such as booking into your PMS, around the clock. The right choice depends on which calls you need fully handled and which your team should own.

Do I have to change my phone system? It depends on the vendor. Overlay products work by call forwarding from your current carrier. Platform products run on their own VoIP system. Ask which model you're buying and how to undo it.
