    How It Works

From PMS sync to team huddle in under 2 minutes

    Everything on One Screen

The data your team needs to start every day strong

What is a dental morning huddle?

A morning huddle is a short daily stand-up before the first patient arrives, where the whole team, front desk, hygiene, assistants and providers, walks through the day together. It is the cheapest operational habit in dentistry and one of the few that reliably shows up in the numbers.

The reason it works is that almost every expensive problem in a dental day is visible at 7:50am and invisible at 2pm. The unconfirmed patient who won't show. The two-hour hole in hygiene nobody has tried to fill. The patient arriving at 11 with a balance the front desk won't know about until checkout, by which point the conversation is awkward and the money usually walks. Ten minutes of looking at the schedule turns all of those from surprises into assignments.

Most practices that abandon the huddle do so for the same reason: building the sheet by hand takes twenty minutes, it is stale by 9am, and eventually nobody makes it. Aron's board pulls live from your practice management system, so there is nothing to prepare and nothing to print.

A 10-minute dental morning huddle agenda template

Steal this. It maps one-to-one onto the huddle board, so you can run it straight off the screen.

    • 0:00 – 1:00 — Yesterday in one number: Production against goal, collections, and anything that fell through. Thirty seconds of facts, no post-mortems, the huddle is about today.
    • 1:00 – 3:00 — Walk the schedule: Provider by provider, top to bottom. Who's coming, what for, how long, and where the gaps are. Everyone should be able to picture the day by the end of this.
    • 3:00 – 5:00 — New patients and first visits: Name, referral source, forms status, and who greets them. First impressions are the cheapest marketing a practice has.
    • 5:00 – 7:00 — Money conversations: Which patients have an outstanding balance, which have unscheduled treatment to present, and who on the team is handling each conversation before the patient checks out.
    • 7:00 – 9:00 — Risks and gaps: Unconfirmed appointments, known no-show risks, and open slots. Assign the confirmation calls and decide who gets offered the openings from the waitlist.
    • 9:00 – 10:00 — One thing and a win: One focus for the day, collections, same-day treatment, review requests, and one acknowledgment of something that went well. End on time, every time.

Six rules that keep a huddle alive

Huddles rarely fail on content. They fail on discipline.

    • Same time, every day, whether or not the doctor is running late
    • Ten minutes, standing up, sitting down turns a huddle into a meeting
    • Everyone attends: front desk, hygiene, assistants, providers
    • One screen everyone can see, not five people reading their own
    • Decisions and assignments, not discussion, anything longer moves to the weekly meeting
    • Numbers are visible, so the team knows what the day needs to look like

    Questions?

What is a dental morning huddle?

A morning huddle is a short daily stand-up, ten minutes or less, where the whole team walks through the day before the first patient arrives. You cover the schedule, new patients, outstanding balances, unscheduled treatment, unconfirmed appointments and the production goal. Done properly it's the highest-leverage ten minutes in a dental practice, because almost every problem it catches is one that costs money to discover later.

What should be on a dental morning huddle agenda?

Six things, in this order: yesterday's result in one number, a provider-by-provider walk of today's schedule, new patients and their referral source, outstanding balances and treatment to present, unconfirmed appointments and open slots, then one focus for the day. Anything that needs debate belongs in the weekly meeting, not the huddle.

How long should a morning huddle be?

Ten minutes, standing. The discipline matters more than the content, a huddle that reliably runs ten minutes gets attended, and a huddle that drifts to twenty-five gets quietly abandoned within a month. If a topic needs longer, assign it to someone and move on.

Which practice management systems are supported?

Morning Huddle works with any major PMS including Dentrix, Open Dental, Eaglesoft, and dozens more. Your schedule and patient data sync automatically.

    How are patient balances calculated?

Outstanding balances are pulled directly from your PMS in real-time so your front desk always has the latest numbers.

Do I still need a paper huddle sheet?

No, and that's most of the point. A printed sheet is out of date the moment someone cancels, and building it by hand every morning costs your front desk twenty minutes before the day even starts. The board pulls live from your PMS and refreshes as the morning changes.

Can I customize what shows on the huddle board?

Yes. You can toggle columns like balances, treatment notes, referral source, and reminder status. The board adapts to what matters most to your practice.

Does Morning Huddle work for multi-provider practices?

Absolutely. The schedule is organized by provider so you can review each column individually or see the full office at once.

    What about multiple locations?

Each location gets its own board with its own schedule, providers and production goal, so a team huddles on their own day without wading through another office's patients.

Is there a mobile view for Morning Huddle?

Yes, the huddle board is fully responsive and works on tablets and phones, perfect for walking the board during a standing huddle.

How early is the data available each morning?

The schedule syncs overnight and refreshes again at 6 AM local time. Any last-minute changes auto-update in real-time.

    Who should run the huddle?

Usually the office manager or lead front desk person, not the doctor. The team runs the day; the doctor contributes clinical context on specific patients. Practices where the owner runs the huddle tend to lose it whenever the owner is out.
