Dental No-Show Policy: A Sample Policy and Confirmation Texts You Can Use

Every practice has had a 90-minute appointment fail to show up. The chair sits empty, and the hygienist has nothing to do. A patient who would happily take that slot is booked three weeks out. A clear no-show policy won't stop every missed visit. But it sets expectations and gives your team a consistent reference. It also makes the conversation less awkward.

This guide gives you a sample dental no-show policy to copy. It covers enforcing the policy without losing good patients. You'll also find confirmation text templates that stop many no-shows before they happen.

What a dental no-show policy should include

A good policy is short and easy to understand. It should cover:

    • How much notice you need to cancel or reschedule (24 or 48 hours is common)
    • What counts as a no-show, including arriving too late to be seen
    • What happens after a no-show: a policy reminder, a fee, or a deposit for future bookings. This can also include limits on booking certain appointment types
    • How you'll remind patients, so they know to expect texts or emails
    • Exceptions for emergencies

Before adding a fee, check your PPO contracts and applicable state rules. Some plans limit what you can charge members.

How to enforce your policy without losing patients

Share it before you need it

Include the policy in new-patient paperwork and on your website. Have patients acknowledge it. Nobody should first hear about it after missing a visit.

Be consistent, with room for judgment

Apply the policy the same way to everyone, with room for judgment. Let the office manager waive it for real emergencies. Allow that discretion for a long-time patient's first offense, too. Record each waiver to keep things fair.

    Make the first conversation friendly

After a first no-show, reach out to reschedule, not to scold. "We missed you today! Let's find a new time that works better." Our cancellation and no-show scripts have more wording for these calls.

    Make it easy to cancel

When moving an appointment is easier, fewer patients simply don't show up. Let patients reschedule by text reply and book online. Don't make calling during office hours their only option.

    Appointment confirmation text templates

The best way to enforce a no-show policy is to need it less. These short texts work for most practices. Keep them brief. Name the practice and provider, and ask for one simple reply.

Before texting patients, get their consent and give them an easy way to opt out. The FCC's consumer guide on robocalls and texts is a good public starting point. Your attorney can advise on specifics for your practice.

    Right after booking

"Hi [First Name], you're booked with Dr. Peterson at [Practice Name] on [Day, Date] at [Time]. Reply C to confirm or R to reschedule."

    Two to three days before

"Hi [First Name], a reminder of your visit with Dr. Peterson on [Day] at [Time]. Reply C to confirm or R to pick a new time. Please give us [24/48] hours' notice if you need to change it."

    Morning of

"Good morning [First Name]! See you today at [Time] at [Practice Name]. Running late or need to reschedule? Just reply here."

    New patient

"Welcome to [Practice Name], [First Name]! Your first visit with Dr. Peterson is [Day] at [Time]. Please fill out your forms here: [link]. Reply C to confirm."

    Unconfirmed patient follow-up

"Hi [First Name], we haven't heard back about your visit [Day] at [Time]. Reply C to confirm or R to reschedule so we can hold your spot."

    After a missed appointment

"Hi [First Name], we missed you today. We hope everything is okay! Reply here and we'll find a new time that works for you."

    Spanish version (morning of)

"¡Buenos días, [First Name]! Lo esperamos hoy a las [Time] en [Practice Name]. ¿Necesita cambiar su cita? Solo responda a este mensaje."

Automate the confirmations so your team doesn't have to

Sending these by hand works for a few patients a day. It doesn't work for a full schedule. Aron's appointment reminders go out by text and email on the schedule you choose. Patients can confirm or reschedule through two-way texting. Anyone who hasn't confirmed is flagged, so your team knows who to call. If nobody can pick up a patient's call, missed-call text-back follows up right away. The AI receptionist answers 24/7 in English or Spanish.

Aron is HIPAA-aligned and we sign a BAA. There are no long-term contracts. Comparing tools? See our roundup of dental appointment reminder software or our guide to how to reduce no-shows.

    FAQ

Can a dental office charge a no-show fee?

Many practices do, but check your PPO contracts and any state rules first, since some plans limit fees for members. Whatever you decide, put it in writing and have patients acknowledge the policy before their first visit.

How much notice should a dental cancellation policy require?

24 or 48 hours is most common. Choose what gives your team enough time to fill the slot, and use the same rule for everyone.

How do I write a dental no-show policy?

Cover the notice you need, what counts as a no-show, what happens after one, how you'll send reminders, and exceptions for emergencies. Keep it short and friendly. You can start from the sample policy above.

What should a dental appointment confirmation text say?

Name the patient, the practice, the provider, the date and time, and ask for one easy reply, such as "Reply C to confirm or R to reschedule."

    Does Aron send voice reminders?

No. Aron reminders go by text and email. Patients can reply to confirm or reschedule, and unconfirmed patients are flagged for your team.
